ShiftSketch: free roster proposal tool

Build and test master rosters against your shift blueprint and your rules: minimum rest between shifts, a cap on shifts in a row, contracted hours, and weekends shared fairly. Start from a blank roster, set your own shift times, edit any shift by hand, or let Optimise suggest changes.

1. RosterStart here. Choose a starting roster, edit shifts, lock lines you want to protect, and press Optimise. Save it under a name when you are happy.
2. Rules & ShiftsSet cover hours, roster rules, shift times and staff needed per day. Do this before you press Optimise so the suggestions follow your rules.
3. ScorecardSee how the roster measures up against your rules, and what has changed from the starting roster.
4. ExportPrint the roster, or export it to PDF, Word, Excel or CSV, or as a file to keep or share.
5. CalculatorCost a shift from the EBA rates, penalties, overtime and super.

Roster rules

Tick default to use the standard value (4 full-time and 2 part-time shifts a week, 10.5 hours rest, 4 shifts in a row). Untick it to enter your own number to match your workplace agreement. Set rest or max in a row to 0 to switch that rule off.

Staff lines

A summary of the lines in your roster. Add and remove lines on the Roster tab, under the grid.

Paid hours

Paid hours = finish − start, less the unpaid break.

Shift types, times and blueprint

How many lines (one line is one person) each shift needs on each day. Starter times are loaded by default. Change a start or finish time and every rostered shift of that type moves with it. Use Set as my default to keep your times for future rosters.

Master roster (one week of the rotation)

Full-time and part-time lines rotate weekly in the order listed (top to bottom). Fixed lines, such as a flexible work arrangement, do not rotate. Casual and Overtime lines are pools with no fixed shifts: Optimise never moves them, so use them to record who picks up a shift from the overtime offer list below. Tick Lock to stop Optimise changing a line. Edit a line’s label to rename it, and type the person’s name into the Staff name column.

Overtime offer list — 0 vacant shift(s) to offer

Every shift the blueprint still needs that the lines above do not cover, ready to offer as overtime or to a casual. Once someone accepts a shift, add a Casual or Overtime line and assign it in the grid; the shift then drops off this list.

Notes on cells — 0

Concerns recorded against specific shifts in the grid. Click a note to edit it. Notes are saved with the roster and printed in the PDF.

What changed from the starting roster — 0 shift(s)

A plain-English list of every change from the starting roster. It is also printed at the top of the PDF, so the reader sees the proposal before the grid.

          Save and export

Excel and Word may show a one-time “format does not match the file extension” warning. This is expected for a colour-formatted export: choose Yes or Open anyway.

          Export or import a roster

Export saves the roster, shift times and blueprint as a file you can keep, email, or load on another computer.
